Course Cancellation, Transfer & Refund Policy
This policy applies to courses and programmes provided by Magia, trading as Delta Dental Endodontics ("Delta Dental Endodontics", "we", "us").
1. Long Programmes
This section applies to the 10-Day Endodontics Programme and any other multi-module programme specifically designated by Delta Dental Endodontics as a Long Programme.
All cancellations must be submitted in writing by email.
90 calendar days or more before Day 1
The delegate will be entitled to a refund of any course fees paid, less the £500 non-refundable booking deposit and any applicable transaction costs as described in Section 6 below.
60–89 calendar days before Day 1
The delegate will be liable for 50% of the total programme fee.
If more than 50% of the total programme fee has already been paid, the excess will be refunded, less any applicable transaction costs.
If less than 50% has been paid, the outstanding amount required to bring the total payment to 50% of the programme fee will remain payable.
Less than 60 calendar days before Day 1
The delegate will be liable for 100% of the total programme fee and no refund will be due.
Any outstanding instalments will remain payable in accordance with the agreed payment schedule.
Withdrawal after commencement / Failure to attend
Once the programme has commenced, the delegate remains liable for 100% of the total programme fee.
Failure to attend Day 1, individual modules, or withdrawal from the programme after commencement does not create an entitlement to a refund.
2. Master Courses & Short Courses
This section applies to one and two-day Master Courses, hands-on courses, guest-speaker courses and other short CPD courses provided by Delta Dental Endodontics.
All cancellations must be submitted in writing by email.
60 calendar days or more before the course start date
The delegate will be entitled to a refund of the course fee paid, less a £100 cancellation/administration fee and any applicable transaction costs as described in Section 6 below.
30–59 calendar days before the course start date
The delegate will be entitled to a 50% refund of the total course fee, less any applicable transaction costs.
Less than 30 calendar days before the course start date
No refund will be due.
Failure to attend / No-show
No refund will be due.
3. Transfers to Another Course
Instead of cancelling, a delegate may request to transfer their booking to another suitable Delta Dental Endodontics course.
Transfers:
- are at the discretion of Delta Dental Endodontics and subject to availability;
- are normally permitted once only;
- must normally be used for a replacement course taking place within 12 months of the original course start date; and
- may be subject to a £100 administration fee.
Where the replacement course has a higher fee, the delegate will be required to pay the difference.
Where the replacement course has a lower fee, no refund of the difference will normally be payable unless otherwise agreed by Delta Dental Endodontics.
Once a booking has been transferred, the transferred booking will normally be non-refundable, except where required by applicable law or where Delta Dental Endodontics subsequently cancels the course.
4. Delegate Substitution
A delegate who is unable to attend may request to nominate another suitable clinician to attend in their place.
Any substitution must be approved in advance by Delta Dental Endodontics and the replacement delegate must satisfy any professional, qualification or eligibility requirements applicable to the course.
Delta Dental Endodontics reserves the right to decline a proposed substitution where these requirements are not met.
5. Deposits & Instalment Plans
For the 10-Day Endodontics Programme, the £500 booking deposit is non-refundable.
Where a course or programme is booked using a deposit or instalment payment plan, cancellation liability will be calculated against the total agreed course fee, and not simply the amount paid at the date of cancellation.
Payment by instalments is a facility for paying the total course fee and does not alter the cancellation terms or the delegate's financial liability following cancellation.
Where the amount already paid exceeds the applicable cancellation liability, any refund due will be calculated in accordance with this policy.
Where the amount already paid is less than the applicable cancellation liability, the outstanding amount will remain payable.
6. Administration & Transaction Costs
Where applicable under this policy, the specified cancellation or administration fee will be deducted from any refund due.
The administration fee reflects the administrative costs associated with processing, managing and subsequently cancelling a confirmed course booking, including booking administration, accounting and refund processing.
In addition, Delta Dental Endodontics reserves the right to deduct any actual and non-recoverable payment or transaction costs directly associated with the original payment or the processing of the refund.
These may include, where applicable:
- card or payment processing charges;
- bank transfer charges;
- international payment or transfer charges; and
- currency conversion or foreign exchange charges.
Any such deductions will reflect costs actually incurred by Delta Dental Endodontics in connection with the delegate's payment or refund and will be itemised when the final refund amount is confirmed.
7. Refund Processing
Where a refund is due under this policy, Delta Dental Endodontics will confirm the amount following receipt and approval of the cancellation request.
Approved refunds will normally be processed within 30 working days of confirmation of the refund.
Where possible, refunds will be made using the original payment method.
The time taken for funds to appear in the delegate's account following processing may depend on the relevant bank or payment provider.
8. Cancellation or Rescheduling by Delta Dental Endodontics
Delta Dental Endodontics reserves the right to cancel, postpone, reschedule or make reasonable changes to a course or programme where necessary, including where circumstances arise outside its reasonable control.
If Delta Dental Endodontics cancels a course and no suitable alternative date or course is offered or accepted, the delegate will be entitled to a refund of the course fees paid.
Where a course is rescheduled, delegates will be offered the opportunity to transfer their booking to the revised date or, where appropriate, another suitable Delta Dental Endodontics course.
Except where liability cannot lawfully be excluded, Delta Dental Endodontics will not be responsible for travel, accommodation or other consequential expenses incurred by delegates in connection with attending a course.
Delegates are therefore strongly advised to arrange flexible or refundable travel and accommodation.
9. Calculation of Cancellation Periods
All cancellation periods are calculated in calendar days.
For Long Programmes, the cancellation period is calculated from Day 1 of the programme, irrespective of the dates of subsequent modules.
For Master Courses and Short Courses, the cancellation period is calculated from the scheduled start date of the relevant course.
The effective cancellation date is the date on which Delta Dental Endodontics receives the delegate's written cancellation request.
10. Acceptance of Terms
By completing a booking and making payment, the delegate confirms that they have read and accepted the Magia, trading as Delta Dental Endodontics, Course Cancellation, Transfer & Refund Policy and any other Terms & Conditions applicable to their booking.
The version of this policy in force and accepted by the delegate at the time of booking will apply to that booking.
Nothing in this policy is intended to exclude or restrict any statutory rights that cannot lawfully be excluded.
